How Do I Get Help?

Who Has Access to FOLIO Information?

FOLIO restricts who can have access to the information it contains.

  • Managers and delegated managers can see and update information for all faculty within their department.
  • Faculty can only see their own information. They also can add and update the information.
  • Admin assistants can only see those faculty assigned to them.

If someone from another department needs a faculty CV or NIH Biosketch s/he must make a request to the home department manager, faculty member, or the faculty member's admin assistant.

Using the application.

What browsers does FOLIO support?

FOLIO works with the following browsers:

  • Internet Explorer 6.0 and above
  • FireFox 1.02 and above
  • Netscape 6.2 and above

How do I log into FOLIO?

  • Managers - You already have an account and can log in using your computer login or Galen ID.
  • Faculty - You already have an account and can log in using your computer login or Galen ID.
  • Delegated Managers and Admin Assistants - Your manager must first create an account under FOLIO's Manager Administration page. Once that is done, you can login with your computer login or Galen ID.

Under Education, I notice the Institution list does not have my institution listed. What do I do?

Many of the lists in FOLIO will accept whatever you type into them. The listboxes use a "type-ahead" feature that will move down the list as you type. If your institution is not listed, simply complete the typing and FOLIO will accept it as an entry.

I notice several buttons at the bottom of the details page. What are these?

These buttons are there to help speed up the data entry. Much of the repetative data that you enter will not change much.

  • Save and Add New will save the current record and leave you on the same screen with all fields cleared so you can add another record.
  • Save and Copy will save the record and leave you on the same screen with the information still in place. Now you can edit only that information that needs to be changed to create a new, similar record. This can be useful if you only need to change a couple of fields to make a new entry, such as a date or institution
  • Save and Exit will save the current record and return you to the summary screen.

Printing Tips

You can print a CV and NIH Biosketch directly from FOLIO. Since different browsers will render the output differently you may need to adjust the default print settings to optimize the printout.

Internet Explorer - Select File > Page Setup. Make any necessary adjustments.

FireFox - Select File > Page Setup. Under Format & Options make any necessary adjustments. Under Margins & Header/Footer make any necessary adjustments.

Netscape - Follow the instructions for FireFox.

Export to Word or PDF. You can save the CV or NIH Biosketch as a MS word document or an Adobe PDF file. Once you have saved them, open in the appropriate application and use the printer settings for the specific application.

Tips and Tricks

Saving multiple versions of a CV or NIH Biosketch.

You can save multiple versions of a CV or NIH Biosketch to your desktop by selecting the Save as Word or PDF. You can also export directly to Word or PDF format by clicking on the Word or PDF button.

Use the MeSH terms and PubMed imports to save time.

MeSH terms

Under Research Narrative and Clinical Narrative, there is a section for adding keywords. Under MeSH terms, there is a search button. Simply enter a keyword or phrase and click on Search. This will search the standardized medical library for all medical terms matching your search. Then, from the left-hand box, select those keywords that best describe the narrative and click on the arrow pointing the the right hand box to add the keywords.

PubMed

In many of the bibliography sections there is a link to PubMed, the online biobliography resource for medical science. When you click on the PubMed link, a search page will come up with the faculty name already entered. You can add other criteria to refine your search. Click on the search button and a list of publications will be returned. Simply select the publications you want to import and click Save. This will insert the selected pubs into FOLIO.
